When you connect your email account to AI Email Organizer, we collect:
- Email Address: Your email address is used for authentication and to identify your account within our system.
- Email Metadata: We access email metadata including subject lines, sender information, recipient information, and timestamps to organize and categorize your emails.
- Email Content: With your permission, we access email content to enable AI-powered organization, categorization, and notification features.
- OAuth Tokens: We securely store OAuth2 authentication tokens to maintain your connection to your email provider.
2. How We Use Your Data
We use the collected information exclusively for the following purposes:
- Email Organization: To automatically organize and categorize your emails using AI algorithms.
- Notification Rules: To provide customizable notification rules based on your configured preferences.
- Folder Management: To create and manage email folders on your behalf for better organization.
- Service Improvement: To improve the accuracy and functionality of our AI categorization.
3. Email Access Permissions
AI Email Organizer uses OAuth2 authentication with the following access scope:
- IMAP Access Only: We request read-only IMAP access to your email account. This allows us to:
- Read your emails for organization and AI analysis
- Create and manage email folders
- Move emails between folders
- What We Cannot Do: Our IMAP-only access means we cannot:
- Send emails on your behalf
- Delete emails permanently (only move to folders)
- Access your email password directly
- Modify your email account settings
4. Data Security
We implement robust security measures to protect your data:
- Encryption: All OAuth tokens and sensitive data are encrypted at rest in our database.
- Secure Storage: Authentication tokens are stored securely in our RavenDB database with encryption.
- Secure Transmission: All data transmission occurs over encrypted HTTPS/TLS connections.
- Access Controls: Strict access controls limit who can access user data within our organization.
5. Data Sharing
We are committed to protecting your privacy:
- No Data Sales: We never sell your personal information or email data to third parties.
- Limited Sharing: We only share data with service providers necessary to operate the App (e.g., cloud infrastructure providers), and these providers are bound by strict confidentiality agreements.
- Legal Requirements: We may disclose information if required by law or in response to valid legal requests.
6. Data Retention
- Active Accounts: We retain your data for as long as your account is active and you continue to use the App.
- Account Deletion: Upon account deletion request, we will delete your OAuth tokens and any stored email metadata within 30 days.
- Email Content: Email content is processed for AI analysis but is not permanently stored on our servers. We only retain the organizational results (categories, labels) not the email content itself.
7. Your Rights
You have the following rights regarding your data:
- Access: Request a copy of the data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your account and associated data.
- Revoke Access: Disconnect your email account at any time through the App settings or your email provider's security settings.
- Data Portability: Request an export of your data in a machine-readable format.
8. Children's Privacy
AI Email Organizer is not intended for use by children under 13 years of age. We do not knowingly collect personal information from children under 13.
9. International Data Transfers
Your data may be processed and stored in the United States. By using the App, you consent to the transfer of your data to the United States, which may have different data protection laws than your country of residence.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy in the App and updating the "Last updated" date. Your continued use of the App after changes are posted constitutes acceptance of the updated policy.
